Responsible for the efficiency of the information systems/business operations of the organization. Oversees all fiscal operations of the organization, including interactions with vendors, participants and referring agencies. Develops systems and processes as needed to enhance the organization’s function and mission. Specific Responsibilities: Bookkeeping/Financial Management · Utilize QuickBooks to accurately maintain all general ledger accounts, including: § Prepare and make deposits and cash disbursements; § Process and track accounts receivable and payable; § Coordinate participant invoicing and receipt of payments; § Maintain all vendor, bid and client account records; § Reconciliation of all CPEP credit cards and petty cash accounts at month end; · Ensure collection and tracking of new consultant information needed for 1099; · Track contributions and prepare receipts. · Comply with required filings and postings by local, state and federal agencies for corporate licensure and management; · Coordinate and prepare materials for annual financial audit; · Develop operational budget in cooperation with the CEO; · Meet quarterly with each department manager to review budget vs expenses; · Ensure overall quality and accuracy of CPEP’s financial data. Operations/Business Administration · Ensure that all funds, physical assets, and property of CPEP are appropriately safeguarded; · Continually review CPEP business operations and implement processes to improve efficiency and reduce expenses; increase standardization of processes across departments; · Maintain office equipment, vendor contracts and licenses, and ensure compliance with the terms of those agreements; o Provide support and training to staff related to phone and computer systems; · Serve as liaison with building management; · Supervise operations department staff. Contact Management Systems/Administrative Support · Maintain CPEP information management systems; ensure quality of data entry; · Serve as resource to departments to implement system changes and extract data as needed; · Provide administrative support to CEO and marketing department; o Coordinate Board committee activities, including Investment Committee. Skills: · Proficient in Windows-based programs (Word, Excel, Access), QuickBooks and DonorPro; · Able to organize and manage detail effectively; · Strong verbal and written communication skills; · Reliable, efficient, responsible. Job Requirements: Bachelors Degree or three years work experience in administrative role. Excellent attention to detail required. Must be a strong team member and have professional communication skills.
