POSITION SUMMARY

Mi Casa is seeking an experienced bilingual administrative professional to perform receptionist duties, a variety of office functions, and provide administrative support. This individual will welcome, greet and assist guests, participants and callers. Office functions including processing mail, ordering office supplies, being the point of contact for office equipment and telephones, and maintaining the facility. The individual in this role will also be the point of contact for all tenants and other individuals and groups renting Mi Casa facilities. Finally, this role includes administrative support to the CEO/Executive Director, Director of Development, and Accounting department, assisting with a variety of administrative and clerical tasks as needed.

SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

Program Contribution

· Welcome/greet potential participants, provide information on programs

· Welcome/greet guests, participants and callers, direct to classrooms or staff

· Assist guests or callers with personal referral information/sources for services we do not provide

· Maintain schedules and signage to assist guests or participants in the facility

· Prepare and maintain welcome table with coffee, water & supplies, along with ordering of items as needed

· Maintain Mi Casa information in public areas

· Maintain knowledge of community resources, and physical book of resources, as well as knowledge of Mi Casa services, facilities activities, and events

· Maintain reception/welcome areas to be a welcoming plan including all supplies necessary

Fundraising Contribution

  • Welcome/greet donors or potential donors
  • Receive & process donations received
  • Generate thank you letters to individual donors and event attendees
  • Provide administrative support for Mi Casa fundraising events
  • Participate in fundraising events and workplace campaigns

Operations Contribution

  • The point of contact for rental of rooms
    • Make and maintain room reservations, as well as monitor rooms, including furniture and equipment
    • Generate contracts, tracking, hosting and procedures
    • Marketing and outreach for renting Mi Casa facilities
    • Initiate and process rental invoices and record all receipts
  • The point of contact for facility and office machine issues
    • repair, maintenance
    • cleaning crew services
    • training staff and volunteers on front desk
    • phones, office equipment as needed
    • facility issues such as thermostat
  • The point of contact for basic phone operations including auto-attendant scripts, current messages, password resets, and training
  • Various accounting tasks as needed, including distributing Mi Casa checks to vendors and collecting bids/quotes from vendors/potential vendors as per current Mi Casa purchasing procedures
  • Maintain inventory of commonly used supplies, as well as order and receive supplies for staff members as needed
  • Receive, process and distribute mail per procedures
  • Actively participate on agency committees, in team and staff meetings
  • Maintain and monitor usage of Mi Casa vehicles
  • Maintain a safe and secure facility
  • Support staff by providing information and assisting with various tasks

Community Relations Contribution

  • Be prepared to talk about Mi Casa and our programs at all times
  • Technical supervision of volunteers at front desk or facility maintenance

REQUIRED QUALIFICATIONS

This position requires a bi-lingual (English/Spanish) individual with high school diploma or GED, good general computer skills including Word and Excel, strong customer service skills, an attention to detail, a desire to work with the public and a desire to learn and improve skills.
