We are searching for one dynamic individual to become our receptionist. This position is critical to our organization and is designed and expected to evolve based on the applicant s potential and abilities. During your first year, you will rapidly immerse yourself in a variety of aspects of association management. Aside from the ability to collaborate with other teammates and provide excellent customer service to our members, one of the critical success factors in this position is the ability to be resourceful.
HOURS PER WEEK: 40 hours
JOINTLY REPORTS TO: Meeting Planner & Executive Coordinator / Sponsorships & Exhibits Coordinator
SPECIFIC RESPONSIBILITIES (other duties may be assigned):
Answer all incoming phone calls with superior customer service; assist callers in a solution-oriented way
Promote benefits of membership and conference attendance; process all conference registrations
Manage all mass mailings; collect and distribute mail daily; process checks
Pack and ship all conference and meeting materials
Process all merchandise orders received on a daily basis
Keep inventory and office supplies current; ensure entire office, kitchen, supplies are neat and orderly
Manage phone system and postage
Follow up with vendors for office equipment repairs/maintenance as needed
Perform data entry and ensure data integrity
Provide administrative support to other staff as required
Travel to conferences as assigned; assist with registration desk and preparation of nametags
Undergraduate degree from accredited institution
2 years experience with administrative assistance or customer service
Demonstrated experience being a self-starter and problem solver
Superior communication and writing skills, with strong commitment to customer service
Strong organizational skills and professional demeanor; ability to multi-task and meet deadlines on multiple projects
Skill to work independently as well as collaboratively in a team environment
Ability to professionally communicate with physicians and corporate professionals in the health care industry
Ability to handle typical office and computer-related tasks and be proficient in Microsoft Office products
Interest in growing with the Society and have high attention to detail
Ability to bend and lift or move up to 30 lbs, travel nationally and willingness to maintain a flexible schedule, working evening and weekend hours as needed
Eligibility to work in the United States
Knowledge and use of how to work in an association database software system
This is a full-time position, with two full weeks of travel required annually and occasional weekends.
