Position Summary:

The Executive Coordinator supports the CEO by providing a broad range of administrative duties in a fast-paced environment. This role requires a high degree of independent judgment, decision making, initiative, and discretion. The Executive Coordinator serves as the primary point of contact for all matters pertaining to the CEO and is a liaison with our Board of Directors. Ideal candidates will have proven high attention to detail, work well in ambiguity and managing change, remain grounded in the day-to-day responsibilities, and connect with the mission of CRC.

Areas of Responsibility

The Executive Coordinator will serve as a trusted partner to the CEO with demonstrated ability to maintain confidentiality and use discretion in daily work. They will be expected to work independently and perform a wide range of highly detailed duties including, but not limited to the following:

  • Manage the CEO’s calendar, anticipate logistical and administrative needs, arrange complex travel plans, and prepare detailed itineraries
  • Screen incoming communication and respond appropriately and accurately on behalf of CRC and the CEO
  • Compose and prepare internal and external correspondences including reports, memos, letters of support, presentations, meeting agendas, and other necessary documents
  • Maintain board documents, prepare board packets, schedule meetings, and manage general communication and coordination with the Board of Directors on behalf of the CEO
  • Attend meetings, transcribe meeting minutes, capture action items, and follow up as directed by the CEO
  • With minimal direction, set-up and prepare for meetings involving the CEO including meal requests, room reservations, AV equipment, and meeting preparation and follow-up
  • Manage various staff awards, cards, gifts, and other incentives to honor staff achievements, life events, and employment recognition
  • Research and analyze information to support administrative and executive initiatives
  • Other duties and responsibilities as assigned
Requirements/Qualifications
  • Education: Bachelor’s degree in business administration, non-profit management, communications, or other relevant field. Work experience, similar to that described above, may substitute year-for-year for the required degree.
  • Experience: Three years of professional experience providing executive level administrative services to C-level management, preferably in a nonprofit organization, required.
  • Experience or demonstrated interest in nonprofit fund development or event planning a plus
  • Valid Driver’s License and reliable transportation
  • AmeriCorps, Peace Corps, and other national service alumni are encouraged to apply
  • Organized and attentive to all details: able to seamlessly prioritize and juggle multiple tasks to meet deadlines; thrives in small details and complex logistics
  • Excellent communicator: able to communicate professionally and accurately on behalf of the CEO
  • Especially strong written skills including the ability to create and edit complex documents with limited direction; excellent grammar and proofreading ability
  • A proactive problem solver: able to foresee and plan for future needs and resolve problems or recommend next steps with limited direction in a timely manner
  • Tech savvy: strong knowledge of and experience with Microsoft Office Suite, especially Microsoft Outlook; learns new technologies quickly; experience with a CRM databases a plus
  • A fast paced and adaptable team player: willingness to work cooperatively as part of a fast moving team with frequent changes, delays, or unexpected events
  • Driven by the idea of growing a non-profit organization; bringing a positive, professional attitude and sound judgement
Compensation/Benefits

This is a full-time position based in CRC’s Capitol Hill office. Salary range is $45,000-$49,000 and is commensurate with depth of experience and overall qualifications. Benefits include health and dental insurance, long-term disability, and paid time off.
