Job Description: 

The Meetings & Events Manager serves as the primary contact and liaison between the American Cheese Society (ACS), our contracted Conference Planner, and related vendors for all ACS meetings and events. This position plays a key role in coordinating, planning, and executing the logistics of ACS’s Annual Conference & Competition, Board meetings, tradeshows, outreach events, public events, and other meetings and events as directed.

Areas of Responsibility

Primary Responsibilities

The Meetings & Events Manager serves as the primary staff planner and on-site contact overseeing all meeting and event logistics and providing regular status updates to the appropriate Director for ACS Annual Conference, Board Meetings, Other ACS Meetings & Events, and Industry Related Events. Key responsibilities include:

  • Serving as Staff Liaison to ACS’s Contracted Conference Planner
  • Managing RFPs, Site Inspections, and Venue Selection Process
  • Oversee Logistics including Advance Planning, Shipping, and On-Site
  • Event Load-In/Arrival (First In)
  • Event Breakdown/Departure (Last Out)
  • Event Inventory and Supply Management
  • Post-Event Wrap Up
  • Travel and Lodging Coordination
  • Audio/Visual and Other General Equipment Rental
  • Tour Planning and Coordination
  • Managing Contracts and Contractors
  • Catering and Group Meal Planning
  • Managing Key Event Volunteers and Official Conference Cheesemongers
  • Planning Staff Field Trips, Meetings/Meals, and Team Building Activities
Requirements/Qualifications
  • Strong attention to detail and excellent organizational skills
  • Proven exceptional customer service and interpersonal skills
  • Excellent phone skills, email etiquette, and professional business demeanor
  • Proactive in keeping relevant staff updated on project status and ensuring adherence to deadlines
  • Careful budgeting and adherence to budget with an eye to cost-saving measures
  • Ability to multitask and manage multiple projects and tasks simultaneously
  • Strong oral communication, writing, editing and grammatical skills
  • Ability to communicate clearly with internal and external customers
  • Strong problem-solving skills
  • Diplomacy and comfort in interacting with all types of people
  • Ability to maintain discretion where sensitive and confidential issues are concerned
  • Proficient with Microsoft Office Suite including Excel, Word, and Outlook
  • Ability to work additional hours as needed
  • Ability to work under time constraint and in an environment in which priorities and deadlines change frequently
  • Ability to travel to all ACS events (approximately 5-6 times annually)
  • Ability to identify challenges and make recommendations for improvements to increase efficiencies
  • Ability to work independently, as well as in a team environment
  • Reliable and honest with a positive outlook
  • Desired Qualifications: Non-profit experience; Strong knowledge of meeting and event planning; Knowledge of the specialty foods market and/or interest in gourmet foods; A flexible, proactive problem-solver who never says “it’s not my job”
Compensation/Benefits

Compensation/Benefits

Full-time, exempt, $48,000-$53,000 annual salary.  ACS offers a casual and collaborative work environment, as well as the following benefits:
