Job Summary:

The Scientific Affairs Coordinator will provide technical, administrative and committee support to the Scientific Affairs department. This position will support the internal day-to-day tasks related to the Scientific Affairs team workflow, projects and committee coordination. The successful candidate will handle multiple tasks effectively, have excellent communication skills, and demonstrate the ability to see the big picture and anticipate next steps while completing various day-to-day tasks. This individual must work creatively and independently, be able to create processes and solve problems as they arise.

This position will report to the Chief Science Officer (CSO). This is a full-time, nonsupervisory position based at the IASLC headquarters.

Areas of Responsibility


Essential Functions:

•   Support the Scientific Affairs Department with daily tasks and on-going scientific projects

•   Support the administrative needs of the department, committees and task forces including scheduling calls and arranging meetings, taking detailed minutes, drafting meeting summaries, creating reports, circulating documents, tracking information, tracking shipping and material stock, record keeping, helping with travel arrangements and any other tasks as assigned

•   Diligently track legal documents for edits and signatures, including MOUs and DUAs related to committee projects. Work with committee liaisons, IASLC legal counsel and external stakeholders to revise MOUs when necessary and meticulously maintain digital and paper records

•   Manage permissions and licensing requests for scientific material

•   Proactively implement organizational and project management tools and software to increase work efficiency and standardize departmental processes and workflows

•   Under the direction of committee staff liaisons, actively maintain relevant committee sites updating information as necessary and creating training material for new committee members

•   Support scientific projects that may involve complex scientific or technical details and specialized terminology including manuscripts, grants, research reports and proposals, presentations, and other materials as assigned

•   Create endnote reference libraries and tracking references within manuscripts

•   Contribute and maintain website content relevant to the scientific committees

•   Provide exceptional member service and overall support to IASLC members, partners and stakeholders

•   Other duties as assigned

  • Bachelor’s degree from an accredited college or university in a scientific, public health, healthcare or business administration or related field
  • Minimum of 3 years relevant work experience in a similar role or healthcare administrative role
  • Proficiency in using Microsoft Office Suite, Adobe Acrobat with ability to learn additional software quickly and effectively
  • Familiarity with hosting and facilitating virtual conference calls and meetings using Microsoft Teams, Zoom or similar conferencing systems or platforms
  • A strong commitment to the mission of IASLC and compassion for those living with a lung cancer diagnosis
  • Ability to work flexible hours when required
  • Ability to travel domestically and internationally, as necessary (5-10%)
  • Scientific or medical background/knowledge in lung cancer or oncology preferred
  • Previous work experience in a nonprofit, scientific, medical, research or academic organization or professional association helpful
  • Medical terminology or medical writing certificate a plus
